OUR PICTURE DAY PROCESS

No forms to complete, just pictures to take!

Step 1: Pick a date that works for your program and we will set you up with a photography team to handle all of your photography. We work with dozens of photography professionals!

Step 2: Set up a schedule following our simple scheduling guidelines

  • a. For most sports with up to 15 players on a team such as baseball, soccer, basketball, flag football, lacrosse or softball, 1 team every 20 minutes PER photographer is a very easy schedule. We do ask that each team have a scheduled time.
  • b. For tackle football and cheer teams we will make a custom schedule as team sizes vary.
  • c. Picture Days generally about 5-7 hours for organizations with over 150 players hours and a mid-day break is appreciated.

Step 3: Before picture day, we will send out a suggested posing guide and picture day instructions via email for you to forward to your families. We want the kids to have fun and are happy to do multiple poses! Buddy and family photos are encouraged!

Step 4: Select a location, indoors or outdoors. Your choice! We love to take beautiful outdoor photos at your fields if possible and offer parents a “natural” choice. Indoor photos are done on a background but whether photos are done indoors or outdoors parents can select from many background choices.

Step 5: Meet your photography staff one hour before-hand to agree on the location (and open gates or doors). League officials or volunteers can help lining up kids which is appreciated but not required.

Step 6: On picture day parents are given instructions on how to access their password protected galleries and order photos. Edited images will be loaded in to the galleries within a week of picture day.

SOME SPECIAL NOTES TO CONSIDER

#1: Do not schedule all the littlest players right in a row.

For example, do not put all the T-ball teams with new kids and new parents right in a row in the morning. Space some older teams between them. Sometimes you can give these teams 5 minutes extra per team if there are many of them.

#2 : Schedule breaks if you can.

Having a big sale, on-site celebrity, or other event? Be sure to announce it so everybody knows and gets excited about it.

#3: Do not announce make up days until after picture day

It really hurts participation and you end up with many teams and kids not attending.

#4: Online scheduling tools like Sign-Up Genius can be disasters.

It is better to just assign teams times and let them move if they need to. Using online tools almost always leads to upset teams who don’t go online in time and end up with really inconvenient picture times.
